********18/12/12 UPDATE******
Apologies for my slackness of late on this. I have been recuperating off work since October from my head injury, but am doing some work on it over the next couple of days.
Look out for a further update over Christmas regarding camping, cost of camping, venue for the meal on the saturday etc.

When we put on the Club GTI sprint, we sell 28 spaces (each getting 10 runs average on a good day) and have to sell the spaces at £45 to members just to break even, with all costs (inc St John etc) taken in to consideration. So might be a bit optimistic. If you have 50 cars, which there isn't room for in the paddock, then cars will only get up to 5 runs on the short circuit.

Glad you both enjoyed it today. We have been putting the event in at Curborough for a long time now. We have to thank Shenstone Car Club for letting us use the circuit.

....It's also relatively 'central' - Whichever location is chosen it won't suit absolutely everybody.
The downside is though that it's pretty bleak regarding what else to do other than track. It depends what can be organised there.

Very safe, lots of room and long enough....
Let's be honest not everybody wants to do an official track day, as long it was kept to 10 cars on a lap at a time and max 5 laps, you could do a one in one out and it would nt take long to get through everybody.
People's brakes wouldnt last much over 5 laps anyhow.
Sort of a semi track day/vmax event but unofficial.
You'd have to make sure it didn't turn into a bunfight somehow.
Loads of room, could also hire in a chuck wagon for the day that way we wouldn't be spending £6 on an egg banjo

I know someone who does hog roasts for events.... i might be able to get them to come and do it at a discounted rate.

Will definately be good to have a mega meet and give a big thankyou to the founding members for all their hard work.

I don't think anyone said June! A previous post said that's when GTi International is, that's all. When we have our first meeting we'll get the 'scene' calender out and look to a date that is free of any other major Dub activity I guess.

Last time I looked into it the cost was deep into the £thousands. Then there's the health and safety aspect to consider if running a high speed circuit/quarter mile area, with St John's Ambulance, possibly insurance indemnity etc. There are pitfalls to being an event organiser, so ensure you organisers are covered.
This will be a Mega meet, but costs need to be considered early and catered for before the event in my experience. :happy2:

....This is exactly what I was suggesting would be the case when a trackday/hillclimb meet was being suggested earlier. I didn't know the score about Bruntingthorpe and assumed it might be different when DaveB suggested it.
I certainly want no part in any such health and safety and insurance responsibilities in helping to organise this meet. My intention is only to offer advice if I can. For personal financial reasons I am unable to contribute any money whatsoever wherever this event is organised.

We may have to gave a re-think on thos one chaps. I did think about waiting until inters next year and put on a really good club stand, banners and all the trimmings. Would be way cheaper.

well lets make it special. If everyone turns up like they say there going to i reckon it would be pretty cool,you have full useage of rhe track if you wish and camping facilities also and food on tap, albeit needing a bank loan. Always an idea. Could have a vote on what people may prefer?

....Everyone who is a member of the forum is always welcome - You don't have to have a Mk5 or GTI. If we were to do a big group photo of cars like we did before, I expect we would want to arrange car types together for the sake of the photo. A3's/S3's etc would park up together within the photo.

Ok, so if not tracking it, why not hire a field somewhere central and have a mega meet on the saturday, and camping and BBQ & beers Saturday night? This would be a lot easier to organise. There are loads of campsites where you can have real fires as well. We could go for one of those, and get a section or small fied cordoned off?

I went to a bike rally a couple of weeks ago, was a fairly big patch of land in Worcester. Had a massive marquee in the middle with music and beer. Didn't matter about noise because it was pretty much in the middle of nowhere. The only company we had was sheep :smiley:
We could organise a burger van or something like that?! I've been trying to remember what the place was called all day, but ill get on the case if it's likely. I'm presuming it would just be a case of asking the land owner for his permission and the price we'd have to pay. Could camp there aswell :)
How does everyone feel about this?! Just an idea so any objections are welcome :happy2:

Well, it seems a track day is a bit ambitious, and most seem to just want to meet, camp, bbq and have a few beers to celebrate.
Would people like to go pay homage to the first Mega-meet of the Forum and meet at the same place? Seems quite fitting.
DATE? I think we should aim for last weekend in April or first weekend of May. Only my idea though!
Myself, Ben, Robin and Gazon69 will organise everything including food and camp-site (suitable for you low-squatters!) so we can make a weekend of it, and celebrate 5 years of the forum.

As long as we don't do what a load of 'modded' cars were doing the other week on the M40 northbound. 60mph middle lane, nothing on inside lane, about 50 cars I couldn't get off the Motorway.

I suggest that when it's settled when and where, we start a new thread in the Meets section and transfer this list. But meanwhile this provisional list will give us an idea of numbers attending and make it easier to talk to whoever is going to provide the location etc.

....We don't know yet. Ideally somewhere fairly geographically central in England so it gives more folks a reasonable chance of getting there. But wherever it is, some folks unfortunately won't be able to make it - Scotland for example.

This is the nearest camp-site to Stafford (venue of first mega-meet) which allows tents, fires and bbq's.
Also, the ground looks pretty flat from the pictures, for you guys who are sitting low!

....No, unless SteveP spoke to them separately (which I do not recall seeing) we did not get moved on by the Police. They appeared in an unmarked car because a neighbour had expressed concern at seeing so many cars suddenly turn up. I was the one who spoke to the Police and they were satisfied that we were not misbehaving. I assured them that we were gathering for photography. I also informed them about my missing number plate before they spotted it.
But there is no doubt that with even more cars turning up this time, neighbouring residents may be concerned again and that it would depend on the individual Police officers attitude whether we got moved on - Very likely perhaps. Unmarked guys are often much more tolerant in my experience.
But it's sensible good advice from SteveP that we may be moved on.

I still have no information as to the actual location of the original meet though. Any help would be appreciated. Even if a rough area could be given so i can try and spot the original car park o google maps lol.

I don't know the 'anti rave laws', nor when a private gathering is deemed to be either illegal or an illegal rave. This is how the big all-night clubs were born - The raves had to be taken indoors where they could be more controlled.
A really big public car park would surely be ok to meet and start off with and have photography. And then, as the member with Hoo Hoo Dillies suggests, a private field somewhere for camping etc.
But even a field owner might quite reasonably insist that no open fires were built directly on the ground. We used to take dustbin lids (metal of course!). Dustbin lid raid on the locals, anyone?
I know a really big village cricket field in Dorset (a flat and very large field which very amateur cricket is played on) and the owners are used to lots of cars and tents on it too. But it's way down south in the UK and so too far for many folks.

Yes looks like stafford technology park is still there and a good place to meet. Looks like there is loads of parking so wont be a problem getting alot of cars in there :happy2:

Morning chaps, just been for a mooch around the techno park it has certainly grown in size.... but seemed very quiet with lots of space for parking, Not sure how busy it would be on a Saturday as there are quite a few small business units around. One thing though the Police HQ is just over the back of the buildings in the shots below and they use it for access but I think if we behave ourselves we should be ok although more than certain to get a "visit" from them. but other than that seems just the job.

No gates as it is only an industrial estate although the sign say technology park, Most of the bigger buildings look like the new council offices plus the university admin.
I couldn't find the spot that you guys used ... I did have a good ride round but as I have said before I think it may of grown a bit since the first meet :wink: maybe pick the best spot on the day. maybe have a look on google earth, kinda depends how up to date the maps are though.

The other place i thought of was the motorway services about a mile north of jct 14 .... nothing stopping us having a coffee on there... isn't it a max stay of 2 hrs be the same of any motorway services. :wink:

Most places like that are patrolled by security.
Put it this way.. if i owned one and was in the office and hundreds of cars turned up un invited I'd quickly be on the phone to move them on.
Better safe than sorry... for the sake of asking someone there... better than everyone arriving and being told to bugger off.

Crazy I know, but that's the way of the World in 2012. Anyway, do we need permission to turn up in a car park? We are parking 20-30 extremely welll maintained and cared for cars, none of us will have had a drop of alcohol, no drugs (David Guetta is bringing those in the evening) and there really is nothing we could do to upset anyone. We are not going to be doing donuts or drifting round corners (only because we are fwd! :laugh:)

It depends if the car park is public or privately owned land. If public then there is not a problem, if it is private land then we would need the land owners permission. Normally business estates like that the car parks are privately owned and rented out/allocated to the companies/buildings on the estate

Apologies for not sorting anything on this recently. I've been in Hospital for 2 weeks after coming second in a crash with my granite work top when I slipped and fell in my kitchen, causing a bad head injury and internal bleeding :sad1:
I was discharged on Thursday, so will speak with RR at JKM next week about how we move things forward re the meet site and camping venue. Update to follow after that.

I hope so! It's going to have to be quite a decent size site, as there are 30 odd of us already, each with their own tent. I think we should have one big communal tent for food prep etc in case it rains, otherwise it's barbies, camp fires, and toasting marshmallows under the stars! And a few beers for those of you who like a booze!

I don't want to piss on the parade but many camp sites don't allow camp fires. Metal dustbin lid on bricks can sometimes solve the problem.
Pity I still don't have my 18ft tipi and pot belly stove - I've camped out in all weathers in that and with the fire inside they are bone dry.

A friend of mine, his dad had a portable Mongolian Yurt in his garden, incredible thing and bloody massive! Would have made a brilliant central (communal) beer tent. He has had full on fires going in the centre of it while loads of us slept in it! Great memories.
Only have 1 tent as its a 4 man so i can accommodate others if needed, breakfast will not be included! :laugh:

I don't want to piss on the parade but many camp sites don't allow camp fires. Metal dustbin lid on bricks can sometimes solve the problem.
Pity I still don't have my 18ft tipi and pot belly stove - I've camped out in all weathers in that and with the fire inside they are bone dry.

Don't worry Robin, the 2 campsites I've identified so far allow camp fires. I wouldn't touch them with your bargepole, let alone mine, if they didn't! :grin:
Camp fires are an essential element of camping in my book!

Hello. Joined fairly recently after spending my time of the golfgtim forum for a bit and I like the sound of this. A lot. I think my golf would fit right it in! I need to check when i'm working so i'll let you know asap.

Wasn't meant like that! If I was to go on about legislation/policies/powers with regards to raves etc you'd all fall asleep! It is mega boring!!! I'm merely offering some practical advice on the subject.

Skim read FAIL. I'm not doing well am I! Thought my degree in geography and law might come in handy one day. Ill keep on colouring in my maps! I do have a few mates working in staffs pol (one even in traffiic!!) so that could be useful. May not be though.
I actually love the video from 2? years ago. Truely awesome.

....That might be very useful if we feel that it would be sensible to inform the local Police that we are a harmless bunch of well-behaved car enthusiasts merely meeting up in some number, and hence they would not assume the worst before knowing anything about us. But it's early days yet.

We all know it's not a rave but Joe Public doesn't. Hence IMO useful to make sure we're doing the right thing, not breaking any laws etc. IMO forewarning the police isn't a bad idea. If someone calls the police, they won't (hopefully) have to waste time and effort to check it out if they are aware of what's going on. my 2p.

No need to inform the police that a bunch of people are heading to a campsite for the night/weekend.... Try not to over complicate things... It is what it is... The campsite on the other hand might be harder to please....
I know of one campsite based in the lakes which has a separate field for such an event (family friendly & same sex groups) and if you really want to go to town they hire out a huge gazebo which could fit about 60 people inside...

I am still waiting to hear back from several camp-site owners. I shall hit the phones again on Monday.
It is the last weekend of April or the first of May, depending on camp-site availability.

The rough plan is as follows:
10am Mega-meet in giant car park
1.30pm Lunch & banter in local hostelry
3.00pm Convoy to camp-site
4pm erect tents whilst engaging in banter
5pm boozes and banter for those that like to imbibe
7.30pm BBQ, banter & Fire-building etc & more boozes, followed by booze-fuelled banter
It's an opportunity to get together and talk carstuff with members from the whole country, people we've never met before in the flesh. We did consider a track day, but it was decided that this was what most people wanted to do.

UPDATE!
Ian, Robin and I had a chat about the mega meet whilst at the JKM dyno day today. We all agree that it would be best to hold the mega meet at GTI international and have a proper club stand for the weekend.
Ian has had trouble finding suitable campsites for the meet due to the campsite various rules which we do not fit into :rolleye:
Having the meet at GTI international will allow us to get together in a suitable environment where we are not going to get problems with police and the local public. There will also be more entertainment at GTI International so this should make it a better weekend for all involved.
Ian is going to organise the club stand (SteveP is helping with this - Thanks Steve) we will then update the thread once this is sorted.
